RCFE Renewal Without the Marathon: How Self-Paced Hours Fit a Working Administrator's Week

RCFE Renewal Without the Marathon: How Self-Paced Hours Fit a Working Administrator's Week

You run a facility. Your week is already full — residents, staff, families, licensing visits, the phone that never stops. And somewhere in that week, California expects you to fit 40 hours of continuing education before your administrator certificate expires. The question is not whether you will do the hours. It is whether the hours fit your life, or your life has to stop for the hours.

The renewal math, in full

California requires RCFE administrators to complete 40 hours of continuing education every two years to renew certification. At least 20 of those hours must be live — in person or live-streamed, instructor-led. Up to 20 hours may be completed through self-paced online courses from a CDSS-approved vendor. Inside the 40, at least 8 hours must cover Alzheimer's disease and related dementias, and at least 4 hours must cover laws, regulations, policies, and procedural standards for your facility type.

That split is the whole story. Twenty hours live, twenty hours on your own schedule — if you choose a vendor that sells both halves.

The rule that decides your format: 10 hours a day, maximum

The Administrator Certification Bureau will not accept more than 10 hours of instruction completed in a single day. That cap shapes every format on the market. A livestream-only renewal is four 10-hour days on someone else's calendar — 8:00 AM to 6:30 PM, four times, dates fixed in advance. Miss a day and you wait for the next scheduled session. A renewal with a self-paced half is two live days plus evenings you choose yourself, spread across the weeks before your deadline.

Neither format is wrong. But they are not the same purchase, and they should not cost the same — or be sold as if they do.

What a 40-hour RCFE renewal really costs in California

Prices below are from vendors' own public pages, checked this week. They move, so verify before you buy — but the shape of the market is stable:

- 20 self-paced hours: from $139 for a full 20-hour online bundle.
- 20 live hours: from $129 for a weekend live renewal to $199 for a brand-led live weekend.
- Full 40 hours, livestream only: $255 to $329, depending on the vendor — every hour on a fixed schedule.
- Full 40 hours, live plus self-paced with a toolkit: $350 — the live half and the self-paced half together, with free makeup in a future cohort, a facility forms library, and support across all four facility types.

The cheapest 40-hour path and the most flexible 40-hour path are different products at different prices. The most expensive livestream-only bundle costs nearly as much as the full live-plus-self-paced package — and gives you less. Before you pay, ask one question: how many of these hours can I do on my own schedule?

The other path: becoming an administrator in the first place

If you are not renewing yet — if you are on your way in — the starting line is different. California requires every new RCFE administrator to complete an 80-hour Initial Certification Training Program before sitting for the state exam, and you must take the exam within 60 days of finishing the program. ARF administrators complete a 35-hour initial program on the same clock.

The 80 hours come in two shapes. Some vendors run all 80 hours live: eight 10-hour days on a fixed calendar, typically $599. Others split it — 60 hours live plus 20 hours of self-paced study you start the day you enroll, with exam preparation included, at the same $599. Same certificate, same exam, same price — but one format asks for eight full days away from your life, and the other lets you start the self-paced hours immediately and fit the rest around work. If you are choosing a program this month, the format is the decision, not the price. Ask how many days you must clear, whether any hours are self-paced, and what exam preparation is included — before you pay.

How to choose without regret

1. Confirm the vendor is CDSS-approved for your facility type, and confirm the approval numbers on the courses. Hours only count from an approved vendor. Check before you enroll, not after.
2. Count your live days. A renewal with a self-paced half needs two live days. A livestream-only renewal needs four. Look at your calendar, not the brochure.
3. Check the mandatory mix. Your 40 hours must include 8 hours of dementia content and 4 hours of laws and regulations. Confirm your courses cover them before you buy.
4. Check the makeup and refund terms. Life interrupts a renewal. Know what happens if you miss a live day — free makeup in a future cohort, a reschedule fee, or a lost seat — before it happens to you.
5. Keep every certificate. The renewal application asks for the hours, and a missing certificate at filing time is how renewals stall.
