Audit Yourself With Their Checklist

Oct 30

Most administrators prepare for a licensing visit by tidying up. The better move is to rehearse the visit itself — and Community Care Licensing already published the rehearsal script. CCLD's Self-Evaluation checklists and Self-Assessment Guides were built for exactly this: they are comprehensive assessment tools designed to help the people running a facility perform periodic self-assessments of their own operations. The guides list some of the most common problem areas Licensing Program Analysts find when they make their visits. In other words, the checklist is not guesswork. It is the pattern of real findings, handed back to you in advance.

Running it well takes more than a walk with a clipboard. Work it in the order an analyst experiences your building: the physical plant first — locked storage, water temperature, clear exits, working call systems — then resident records, where the appraisal and needs-and-services plan have to match the care actually being delivered, then personnel files, where clearances, training, and competency checks either line up or they don't. The discipline that makes a self-audit worth doing is writing down what you find the way an analyst would, assigning each item an owner and a fix date, and re-walking the same items a week later. A problem you found and fixed yourself is a training moment. The same problem found cold on a visit is a citation.

The habit matters more than the single pass. Facilities that self-assess on a rhythm — monthly for the fast-moving items like medication storage and documentation, quarterly for the full guide — stop being surprised by visits, because the visit stops containing anything new. The guides exist so you can find problems and correct them before they become serious. That sentence is the whole strategy: the cheapest citation is the one you write yourself, on your own clipboard, on an ordinary Tuesday.

Self-auditing is a skill, and it is taught directly in 123ceu.com's "602 Compliance & Early Risk Detection in RCFE" (2 hrs, self-paced) — how to read your own building for early risk before it hardens into a finding.
